Project Team Lead Designer

Purpose

The Project Team Lead Designer is a project lifecycle expert who is responsible for leading, designing, directing and coordinating large or multi site interior design projects to deliver unique solution for various clients and business needs. As a champion of Bennett Design interior design project processes – Discover, Plan, Implement, Monitor and Close, including Pure Design™ – with the high level of detail and documentation that our firm is known for. As a role model, this person also mentors and directs a team and effectively manages client requests and relationships.
This position reports to the Design Manager.

Role and Responsibilities

Project Work

• Lead the design and execution of interior design projects varying in complexity from proposal through concept and development, construction phase and close out. Responsibilities include:
o Manage multiple projects from beginning to finish and adhere to timelines and budgets
o Facilitate project kick-off meetings, working to develop a high-level understanding of all project objectives, project charters, work plans, project decisions and direction
o Conduct the initial concept development with the project team
o Provide design direction and support to team members to fulfill the project development strategy and goals
o Perform project set up, ensuring AutoCAD drawings are site accurate
o Set up drawings and converts to BDA standards
o Assist in preparation of renderings, initial and final
o Generate drawing packages
o Revise drawings and construction documents as required to ensure accuracy with site conditions
• Lead all Team Meetings
• Work to deliver team project goals through proficiency in all phases of the Project Plan methodology (Discover, Plan, Implement, Monitor and Close)
• Coordinate with outside consultants, architects, engineers and trade partners
• Participate in client meetings and design presentations
• Perform work using d.i.g principles, practices and applications

Contract Management

Execution, Management, Meetings & Reporting
• Assign project work according to Project plan
• Coordinate subconsultants, ensuring project deliverables are proceeding according to budget and schedule
• Ensure project stays within scope of services as per contract
• Maintain construction schedules, deliverables and milestones as per contract
• Track project hours to ensure the team is completing tasks as allocated in the Project Plan
• Provide billing status updates to Design Manager and Finance
• Identify opportunities to issue additional service requests (ASRs) when scope of services has deviated from contract and assist with creation of the ASR
• Formulate photo shoot strategy
• Attend Project Feedback meeting
• Prepare and present weekly project reporting at weekly meetings for Design Manager

Client Relationship Management

• Manage client expectations and be accountable to communication project timelines, concerns and act as a supervisory client contact for escalated matters

Documentation and Process Quality Assurance

• Review design development, construction documents and shop drawings for content accuracy, overall design integrity and compliance with Building Code
• Ensure work is consistent with regulations, procedures, plans, drawings and specifications
• Practice Risk Management as it relates to managing design projects

People Management

• Mentor, guide and audit the work of all project team members for accuracy, consistency and quality
• Champion a culture for professional advancement, recognition and reward for exceptional work
• Responsible for workload coverage across teams
• Responsible for supporting the creation and execution of the Individual Performance Plan (IDP) with each team member and reporting on quarterly team member check ins to Design Manager
• Review and approve timesheets, expenses and time off requests for team members, ensuring timesheets are approved by Monday at 11:00 am each week

Organizational Support

• Comply with and assist with improving all BDA standards and processes
• Act as an ambassador of the BDA culture and core values
• Complete Request for Proposal (RFP) walkthroughs
• Provide proposal and ASR support as required by senior team members
• Complete and submit timesheets on Friday of each week
• Support the Human Resources strategy, assisting with recruitment activities when required
• Assist with Student Internship Program
• Generate Pure Design reports when required
• Attend all training sessions and participate in continuous learning as required
• Attend all mandatory in office meetings as required (Bennett New Year, Quarterly Town Hall, Performance Reviews etc.)
Leadership
• Support, embody and communicate the BDA culture and core values to staff
• Understand and assist in executing the corporate strategy

Knowledge, Experience & Qualifications

Education & Specialized Knowledge

• Post-secondary diploma or degree in Interior Design from a recognized accredited College or University
• National Council for Interior Design Qualification (NCIDQ)
• Association of Registered Interior Designers of Ontario (ARIDO) membership
• Interior Designers of Canada (IDC) membership
• Advanced knowledge of building code requirements, laws, standards and regulations as it relates to project work, with the ability to interpret and apply
• Highly proficient in the interior design process from Discovery to Project Close Out phases
• Thorough working knowledge of BDA standards
• Adept in various products and materials and their use and application for project work
• Proficient in building systems
• Proficient in applying workplace strategy approach to projects
• Proficient in all project management principles, including project tendering, budgeting, and monitoring

Experience

• Minimum eight (8) years’ experience in interior design

• SCHEDULING: Ability to organize the work in a logical way so that it is executed effectively, and to manage the schedule
• BUDGETING: Understand and successfully prepare a budget, know how to perform cost/benefit analyses; use sound rationale; ensure that all factors are included; maintain focus on budget; and consult with client and management if estimated final costs are close to or above budget
• CONTRACT MANAGEMENT: Understands and know how to use contract project tools, how to create contract with clear and agreed-upon terms and conditions, and how to administer contracts
• COMMUNICATION: Ability to produce clear status reports (clear writing and verbal skills), communicate tactfully and candidly, simply jargon, make clients aware of all issues and be an excellent listener
• RISK MANAGEMENT: Understand how to assess, document and manage internal and external project risks; and develop contingencies and mitigation plans
• Proficient in AutoCAD and/or SketchUp/Vray and all Microsoft Office applications

Student, Project Designers and Project Lead Designers.

Working Conditions

This role is permitted to work remotely in addition to working from the Bennett Design office. Employees working remotely must comply with all company policies and practices listed in the Employee Handbook, including but not limited to, the Mobility Policy, Health & Safety Policy and Attendance Policy. In this role you are required to occasionally, travel to the client site for site visits, site measures, and deficiency walk-throughs. Travel includes to and from job sites through the province of Ontario and throughout Canada. At times, you may also be required visit construction sites and may be required to wear the appropriate safety equipment (safety hats, boots, vests etc.).

Physical Requirements

This role involves sedentary work that primarily involves sitting/standing for extended periods of time.
